APS Document Checklist.
Everything about the APS certificate: eligibility, fees, the full document list, exactly how to apply, and the 2026 dMAT update, organised the way I wish someone had organised it for me.
Two or three taps. Nothing is saved.
What APS is, and why it matters
APS, the Academic Evaluation Centre run under the German Embassy in New Delhi, confirms your marksheets and certificates are real. That's its only job.
- It doesn't grant admission
- It doesn't approve your visa
But it's a required first step for most Indian applicants: most German universities won't process your application without it, and you generally can't complete your student visa without it either. Skip it or delay it, and your whole timeline slips with it.
Are you eligible?
For Bachelor's applicants specifically, there's a threshold worth knowing before you go any further:
From Winter Semester 2026/27 onward, both Bachelor's routes require 70% or higher overall in Class XII (any board). Completing a Bachelor's year in India does not substitute for the 70%: it's an additional requirement on top of it, not an alternative route around it.
The new criteria took effect on 15 March 2026; applications submitted before that date are evaluated under the previous criteria. Confirm on APS India's official update ↗
Eligible for the Studienkolleg pathway: subject-restricted admission via a foundation year.
Eligible for the direct pathway: subject-restricted admission to the same or a closely related field. Not automatic: the university still makes the final call.
Neither Bachelor's pathway is currently open under the new criteria; a completed Bachelor's year doesn't change this.
Standard graduate APS procedure; the 70% Class XII rule doesn't apply here.
Special cases (distance/online degrees in restricted fields, private university programmes without full accreditation, or alternate entrance qualifications) are assessed individually. I'd rather tell you to confirm directly than guess and get it wrong for your specific case.
Before you start
A few things to sort before you register:
- 🛂Your passport is in hand and valid
- 📚Your academic documents (X, XII, Bachelor's, and Master's if applicable) are complete
- ✅The academic stage you're applying on is actually finished: APS certifies only what's completed and documented when it processes your file, and won't hold an application open for future results
- 📱Your Aadhaar is linked to your current mobile number: every APS India checklist asks for a copy of it
- 🧭You know which APS procedure applies to you, since the checklist varies by procedure:

Document checklist
Eleven documents make up a complete APS application, following APS India's checklists ↗. APS only processes complete and formally correct applications: a single missing document is enough to delay everything, so go through this slowly. Send legible A4 colour photocopies, copying both sides where a document has two. Never send originals unless APS explicitly asks for one.
- 01APS Application Form
Printed, personally signed, with a passport-size photo attached that is not older than six months. Your signature must match your passport exactly: this trips people up more than you'd expect.
- 02Passport Copy
First and last pages, clear and fully readable. Check your passport is still valid before you start: an expired one stops everything.
- 03APS Fee Payment Receipt
Proof of payment. The fee is non-refundable once paid (details in the next section), so don't submit until the rest of your documents are genuinely ready.
- 04Aadhaar Card
A clear copy, with your current mobile number linked to it. All four APS India checklists ask for it.
- 05Class X Documents
Marksheet and passing certificate.
- 06Class XII Documents
Marksheet and passing certificate, plus the admit card if you have it. On the JEE procedure, also proof of passing JEE Main and Advanced, with its admit card.
- 07Mandatory for graduatesBachelor's Documents
All semester marksheets, plus your degree certificate. If the degree hasn't been issued yet, the provisional certificate from your college is accepted, as long as it's not older than one year. On the "Undergraduates with 2 semesters" procedure, the marksheets of your first year. This is the document set most graduate applicants get tripped up on, mainly because they're missing one semester's marksheet.
- 08If applicableMaster's Documents
Degree certificate and transcripts, only if you've already completed a Master's.
- 09If requireddMAT Certificate
A copy of the certificate issued by g.a.s.t., required only if the dMAT applies to your applicant group (see the dMAT section). APS India doesn't run the test or issue the certificate.
- 10Language Certificate
A copy of your German and/or English language certificate (for example Goethe, TestDaF, telc, IELTS or TOEFL): every APS India checklist lists it. Note: this is separate from the dMAT (see below); don't confuse the two.
- 11MandatoryStudent Authorisation Letter
Download the current version directly from the official APS India Checklists page ↗, fill it in, sign it, and include it. This is the single most-forgotten document on this whole list: it's easy to miss because it's not academic paperwork like everything else.
Fee & processing time
Every APS India checklist states: "The verification fee amounts to 18,000/- INR." It's non-refundable once paid, whatever the outcome. Pay it online as part of your APS registration and keep the receipt. APS India checklist for graduates (June 2026) ↗
APS India says it cannot give a fixed processing time for every case: it depends on application volume and how quickly your school, board or university responds to verification requests. Peak season can take considerably longer, so start as early as you can: it's the one part actually in your control. Confirm on aps-india.de ↗
How to actually apply
The document checklist tells you what to gather. This is how it actually gets submitted:
- Confirm your procedure type
Class XII, JEE Main and Advanced, Undergraduates with 2 semesters, or Graduates/Postgraduates: the checklist differs by procedure.
- Register on the APS India portal
Create your account and start your application online before anything gets couriered.
- Pay the ₹18,000 fee
Online, as part of your registration. Keep the receipt: it's one of your 11 required documents.
- Complete the Application Form & Authorisation Letter
Two separate documents. Sign both exactly as your passport signature.
- Register for dMAT separately, if it applies to you
dMAT is run by a different organisation (g.a.s.t., not APS India): see the section below for who this actually affects.
- Scan and organise everything
Clear A4 colour scans of every document, kept as one combined backup PDF (see Bibin's folder method below).
- Courier your complete application

Issued as a digital PDF and sent to the email address you registered with. Keep the original file safe, and don't rename or edit it: universities and the embassy need it unchanged.
The dMAT update: what actually applies to you
APS introduced the Digital Master Test (dMAT) on 29 June 2026 as an additional part of the APS documents, but only for specific applicants. It's run by g.a.s.t., a separate organisation from APS India: a common mix-up, since people assume it's the same office.
Master's applicants whose previous degree is in:
…for the Summer Semester 2027 intake or later. Full eligibility on aps-india.de ↗
- You're applying for Winter Semester 2026/27: the first dMAT test only took place on 26 September 2026, with certificates from 12 October 2026
- You registered for APS online, or shipped your complete documents, before 29 June 2026
- You already hold an APS certificate
- You're on an officially confirmed exchange, double-degree or university partnership programme
- You're applying for a Bachelor's or PhD, or your previous degree isn't in the fields above
If it does apply:
Right now, only RWTH Aachen and Göttingen use dMAT scores in selection. If it applies to your degree, you'll still need to take it, but each university decides for itself how to use the result. Check your target university's current requirements directly, since this is a fast-moving area. Test dates are few: after 26 September 2026, the next one is planned for the first quarter of 2027. dMAT FAQ ↗ See the official dMAT site ↗
One more distinction worth making: dMAT is not TestAS. TestAS is a separate, older aptitude test some universities use independently; the two aren't related, and taking one doesn't cover the other. APS India's FAQ also says TestAS is currently not a mandatory part of the APS procedure in India.
Your APS checklist
Tick these off as you go: each sheet gets its stamp, and it remembers where you left off on this device.
Common mistakes
- Sending incomplete documents. APS only processes complete applications: anything missing often leads to delays or requests for additional information.
- A signature that doesn't match your passport. Use the exact same signature everywhere.
- Blurry photocopies. APS wants clear, legible A4 colour copies, not phone photos.
- Forgetting the Authorisation Letter. The most commonly missed document on the whole list.
- Applying too late. Processing times stretch during peak season: start as early as you can.
- Sending originals. Only send what the checklist actually asks for: copies, unless APS specifically requests an original.

- 📄 Combined backup PDF every document, one scan
One folder, before anything else
This is exactly what I'd tell a friend doing this right now: make one folder on your computer called "APS", and organise it before you touch a single document.
Then scan every document into one combined PDF as a backup before you courier anything. It costs you twenty minutes now; it saves you hours later, when you need the same documents again for university applications and your visa.
